Background:

The External Relations (ER) department has been created in February 2020 and is comprised of 3main but complementary functional areas: Private fundraising, Communications and Advocacy. The ER department is at the beginning stages of creating a new radical and ambitious strategy that will enhance IRC’s ability to ‘punch above its weight’ in private income, advocacy and brand awareness. The main objective of the department is to enable this organization of more than 12,000 staff to have the resources needed to continue serving 18 million people worldwide in places affected by war and disaster, shape the humanitarian sector by influencing key policies and reforms and build and grow IRC’s reputation.

Job Overview:

The Gift Processing & Database Associate is primarily responsible for timely and efficient processing of donations; creating and maintaining accurate donor records; file imports/exports; quality control and donation data integrity; and maintaining department protocol development. This position also supports the Data & Analytics team with invoicing and issue/work order tracking. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems, and the teams we support, grow and evolve.

Major Responsibilities:

  • Batch, scan, process, and deposit daily donations (check, credit card, EFT, etc.);
  • Collaborate with fundraisers across the department in all items pertaining to gift processing
  • Create and update donor records;
  • Review, research, and combine duplicate records on a regular basis;
  • Provide backup for gift entry, and maintaining matching and sustainer gifts;
  • Monitor daily/weekly quality control reports of biographical information, new records, address

verification/hygiene: develop new reports as needed and perform data hygiene tasks;

  • Process return mail: research address and other updates and manage bulk returns with vendor;
  • Perform data imports and exports;
  • Monitor and complete incoming department cases;
  • Process vendor invoices for payment;
  • Maintain up-to-date knowledge of advancements in current and new technologies;
  • Create reports to support overall fundraising objectives;
  • Participate in special projects as needed

Other key internal and/or external contacts:

Internal: Colleagues in IRC Finance and fundraising departments; colleagues working in the areas of digital technology and global fundraising across External Relations

External: Coordinate with third party mail processing vendor regularly, and other key Data & Analytics vendors

Impact of work:

Accurate donor and gift records are the cornerstone for reporting and forecasting, and facilitates a better donor experience. This in turn supports the IRC’s ability to cultivate, solicit, and thank our donors.

Job Requirements:

Education: Bachelor’s or equivalent

Work Experience:

  • Minimum: 2 years of clerical/admin support positions.
  • Preferred: 2 years of work experience preferably in a fundraising, development operations, advancement services or customer service or related field, particularly in a non-profit environment;

Demonstrated Skills and Competencies:

  • Excellent computer skills: facility with MS Word, Excel, and email/internet software.
  • Excellent oral and written communication and interpersonal skills: possess the ability to communicate and liaise effectively with colleagues and vendors and works well within a team environment;
  • Solid organizational skills: the ability to work efficiently in a fast-paced, thorough, and collaborative environment and the ability to independently manage a multi-faceted workload and meet strict deadlines;
  • Accuracy and attention to detail a must; sensitivity when working with highly confidential information and ability to maintain complete discretion at all times;
  • Ability to identify areas to increase efficiency of our systems;
  • Proven ability to plan and manage a variety of projects and high work volume: must work well under pressure, prioritize, show flexibility, and solve problems creatively;

Preferred:

  • Previous experience and understanding of fundraising and CRM management is helpful; roundCause environment or other Salesforce-based applications preferred;
  • Demonstrated skills for analyzing and interpreting data and systems: ability to identify areas to increase efficiency a plus.

Working Environment:

Standard office work environment. Twice weekly from the office and three days work from home

The anticipated offer range for this position is $30.30 – $32.80 per hour. Please note the published compensation range is specific to candidates based in the New York Metropolitan area. Ranges are based on external market, geographic location, job type, internal equity, and budget. Salary offers are calibrated by individual candidate experience and skills relative to the defined job requirements.
