Organizational context

The office of the United Nations High Commissioner for Refugees was established on December 14, 1950 by the United Nations General Assembly. The agency is mandated to lead and co-ordinate international action to protect refugees worldwide. Its primary purpose is to safeguard the rights and well-being of refugees. It also has a mandate to help stateless people.

Private Sector Partnerships is a service in the Division of External Relations and is responsible for raising income from the private sector. UNHCR has the fastest growing international private sector fundraising programme in the world with ambitious targets. By 2025 UNHCR aims to raise US$1bn each year.

UNHCR private sector income continues to grow at a high rate and with private sector fundraising programs in over 30 countries. UNHCR’s Private Sector Partnerships (PSP), consists of a global network of fundraising offices, operating alongside local UNHCR representations and offices. This global network is supported by HQ functions in Copenhagen and Geneva.

In six of these countries, UNHCR has partnerships with independent charitable organizations (National Partners). National Partners raise funds for UNHCR and awareness of the refugee cause. They use the UNHCR brand for fundraising purposes and engage directly with donors.

The two main sources of generating funds are individual giving and partnerships. Individual giving programs raise funds from individual donors, through cash donations, while partnership involves acquisition and cultivation of high value partners from corporations, foundations, and philanthropists. Fundraisers use private sector fundraising service suppliers to meet their objectives, for example, the procurement of digital services, branding and advisory consultancies, face to face agencies etc.

FMPS (Finance Management and Procurement Support) has three main pillars: finance management, income recording and procurement support towards all fundraising operations. Procurement support is the global oversight of different activities to purchase services/goods for fundraising purposes.

The position

The Assistant PSP Operations Officer works under the direct supervision of the Associate PSP Operations Officer, based in Copenhagen. This is a specialized and critical global support role that ensures that all PSP country operations have the necessary support in the planning, engagement, management, and oversight of fundraising support relationships with the private sector suppliers including procurement and contract management.

The incumbent maintains frequent contacts with fundraisers and Regional Managers across the PSP network, and validates annual procurement plans against approved PSP country and program spending authorities. They also are responsible for maintaining high levels of oversight to ensure that all engagement and transactions follow UNHCR budgetary, financial & procurement rules, policies and procedures.

Duties and responsibilities

Under the overall supervision of the Associate PSP Operations Officer, the Assistant PSP Operations Officer will:

  • Ensure the PSP annual fundraising services plan is delivered and managed over a quarterly basis in line with approved PSP markets’ budgets.
  • Manages and updates PSP fundraising procurement plan on SharePoint.
  • Manages and update global management tool on SharePoint.
  • Data consolidation and visualization to assist internal decision-making processes.
  • Designing brand compliant templates for all procurement activities to purchase fundraising services.
  • Track budgets and prepare reports.
  • Build effective communication with the PSP network to ensure most efficient and cost-effective delivery.

Essential minimum qualifications and professional experience required

The ideal candidate will possess the following qualifications:

Education

• A university degree in one of the following: administration, procurement, fundraising or a related discipline.

Work Experience

  • Minimum 1 year of experience with a bachelor’s degree (No years of experience for master’s degree holders) of previous relevant work experience in combination with the relevant university degree is required.
  • Proven support to coordinating international teams
  • Demonstrated experience in establishing & maintaining good relationships with colleagues/partners/clients/suppliers.
  • Knowledge and experience of supporting specialized projects and/or events.
  • Experience in PeopleSoft, Excel, and SharePoint.
  • Ability to manage multiple projects.
  • Experience working with donors, clients, and fundraising services agencies.

Key Competencies

  • Have excellent MS Office knowledge (Word, Excel, PPT, Sway, Power BI) and design skills
  • Basic knowledge of MS SharePoint is required
  • Basic data visualization skill is required
  • Have excellent communication skills
  • Fluency in English.
  • Fluency in another UN language (Spanish or French) is an asset
  • Demonstrate a genuine desire to learn and develop
  • Be flexible, team-player
  • Be able to take the initiate when tasks require independent working
  • Be creative
  • Be passionate about the refugee cause

Location

The successful candidate will be based with the team in the UN City in Copenhagen, Denmark.

Conditions

This position is a full-time role starting from 8.30am to 5pm Monday to Friday (40 hours per week).

This vacancy is open for both applicants residing in Denmark and for those residents of other countries. The remuneration level and the applicable entitlements and benefits may be different based on the residence of the most suitable selected candidate.
