Assistant & Information Management Officer (for Philippine Residents ONLY)

Job Purpose

The IDC Officer provides support to the IDC team and its management. S/He is mainly accountable for specific activities to support the fundraising and donor relationship management activities, for the management of the unit team box and team space and for the dispatch of demands to the relevant team members. S/He is also in charge of the Information Management for the unit and the focal point for SharePoint, Microsoft Outlook, and various databases.

Main Responsibilities:

A. IDC Activities

  • Manages the acknowledgement of receipt and thank you letters preparation as well as other documentations required by donors and coordinates with HQ assistants and relationship managers
  • Proper management and coordination of information and messages in the team box to ensure the timely delivery of qualitative and quantitative service offer to internal and external clients of the unit
  • Keeps planning, statistics and various monitoring documents up-to-date
  • Keeps regular contact and flow of information with HQ colleagues, and coordinates internally with IDC colleagues for activities implementation
  • Acts as the reference person for all written protocols, correspondence, use of standard information management technology, document security, filing, archiving and makes sure that the documentation used/produced by the unit complies with the applicable visual identity rules
  • Develops work procedures as required
  • Organizes and participates to the unit’s management meetings among stakeholders

B. Information Management

  • Manages, organizes and monitors collaborative spaces (Team Space, File Explorer drives) used by the unit
  • With the expertise and the guidance of the division Information Manager, develops and implements a new structure of the unit Team Space (Sharepoint)
  • Manages and coordinates the flow of information and its application and compliance by unit members
  • Sets and revises information-management and communication procedures
  • Within the unit, briefs and trains new users on collaborative spaces and ensures compliance with rules and procedures
  • Support to the Management
  • Drafts, reviews, compiles, edits and finalizes correspondence, presentations, decision-making documents, meeting minutes and other documents; ensures information is shared
  • Welcomes the unit’s visitors and manages agendas. Plans and organizes visits/missions/travels relating to the unit as needed

Selection Requirements:

  • University degree or equivalent training or experience.
  • Very good command of verbal and written English; working knowledge of French would be an asset.
  • Minimum 3 years’ experience as an Assistant in an international organization or company.
  • Advanced computer skills, including Microsoft Office suite and Sharepoint.
  • Excellent communication skills, both verbal and written.
  • Strong history of continuous education and proven drive to increase skillset.
  • Well organized, able to handle multiple tasks and prioritize, capacity to work under pressure.
  • Very good analytical skills, able to work in teams as well as autonomously.
