Travel required: 10%

Team: PSI AP and HO General Service Team (GST)

Overall responsibilities:

The position is responsible for the management of Japanese translations, updates Japanese pages of the PSI website, administers membership matters in the Asia and Pacific Region and assists in the preparation of global and regional constitutional body meetings (WOC, EB and SC, APREC and APRECON), as required by the relevant supervisor(s).

Key responsibilities of the position include:

1) Translation management

  • Translating short texts (maximum 1,000 words), mainly from English into Japanese. This includes:

  • Post-editing of translations generated by computer-assisted translation tools (Deepl, Trados and potentially other tools)

  • Brokering requests for external translations and managing all related administrative tasks (payments etc)

  • Proofreading and post-editing, quality control and layout of translations

  • Coordinating any relevant issues with HO GST

  • Update of the Japanese pages of PSI’s website.

2) Membership administration for the Asia-Pacific Region

  • Generating regular membership reports from the PSI Report Manager to monitor the payment situation of all AP affiliates
  • Liaising with all AP sub-regional secretaries to ensure membership fees are paid duly and timely
  • Processing membership requests as per existing procedures: applications for affiliation, requests for exemption, reduction, deferral and payment of fees in instalments
  • Preparing the membership document for APREC and EB/SC
  • Liaise with HO on membership matters to ensure that the AP membership applications be submitted in time, be relevant in terms of content and appropriate in terms of format

3) Other administrative tasks

  • General administrative and logistical support to PSI activities in the Region
  • Assists in the preparation of global and regional constitutional body meetings (WOC, EB and SC, APREC and APRECON)
  • Liaise with HO on administrative matters as appropriate and participate virtually at GST meetings, if needed
  • Physical and electronic filing and archiving

Other duties as assigned by the Regional Secretary, the East Asia Sub-regional Secretary or the Head of GST at HO.

Supervision:

The position will report to the Regional Secretary and the East Asia Sub-regional Secretary, for the regional and sub-regional matters respectively.

It will report to the Head of GST at HO for all matters related to global constitutional body meetings (WOC, EB, SC), as well as to membership matters as required.

Cross-functional links:

The position will work in close collaboration with the regional staff, and the members of the GST Team at head office.

Selection criteria:

Languages:

  • Japanese native speaker with good writing skills
  • Excellent written and spoken English language skills

Experience:

  • At least two years’ experience working in fast paced and multilingual environments with responsibility for translation, proofreading and translation brokering.

Skills and attributes:

  • Understanding of the role and values of trade unions and civil society organisations in an international context
  • Ability to use relevant IT office tools
  • Ability to use (or willingness to learn) computer-assisted translation tools
  • Excellent administrative and logistic skills
  • Excellent organisational skills including the ability to multi-task, produce to daily deadlines and manage competing priorities under pressure
  • Strong time management and task coordination skills, particularly in an environment without direct supervision
  • Initiative and ability to plan, work autonomously as well as in a team
  • Excellent interpersonal skills, ability to manage relationships in a multicultural environment
