Job Purpose
To assist in identifying opportunities and areas of potential improvement. To evaluate customer service response at filling stations and assess whether manpower levels are appropriate. To review area operations and based on existing levels of demand, current level of service, and forecasted developments, forecast the need for new filling stations
Job Specific Accountabilities (Part 1)
Assists in planning, monitoring and evaluating manpower levels at existing and proposed filling stations at regular intervals. Assists department management in identifying training requirements for office staff and coordinates training with EDD and IT. Assists department management in staff evaluation and provides recommendations for staff advancement. Prepares monthly absenteeism report and remedial action plan. Prepares station and office time sheets. Assists Retail Sales Executives in allocating station for entry of staff time sheet.
Assists in developing and implementing new strategies for business development from conceptual development and feasibility analysis to actual implementation and monitoring ongoing performance. Coordinates with IT to develop system codes for new products, coordinates new product inception, and assists in existing product price revisions. Coordinates with Finance to create new vendor codes for the system. Monitors filling station Automation System performance and provides feedback to IT and RSM.
Prepares input for annual Retail Sales Department Capital and Operating Expenses budgets. Participates in budgeting, planning, and forecasting of annual sales for major product line, lubricants and LPG. Monitors actual expenses against budget and provides variance analysis by preparing monthly sales analysis reports.
Receives customer complaints and suggestions and recommends remedial action plans to management. Provides input into process analysis and methods of redesigning or reengineering the business process to eliminate or reduce errors, and eliminate non-value adding work. Recommends actions to meet strategic objectives and targets and assists in preparation of presentation to Top Management. Prepares & reports performance against Balance Score Card measures.
Undertakes reconciliations of stations daily sales/bank deposits/Coupon/Rahal Card and Credit Card transactions. Follows up with filling station daily summary reports and inputs sales/adjustments notes into the system. Confirms station bank deposits with the cash office. Maintains accurate records of station sales and prepares monthly sales reports of consignment based items and processes payment. Maintains accurate records of month end cash/coupons/card balances by station. Collects and processes LPG purchase LPO and accounts for invoicing. Receives Fill and Run statement with valuables mortgaged and coordinate with Public Relations for settlement of the case. Reports on monthly fuel loss/gain of stations. Prepares petty cash statements for payment.
Consults with IT, Finance and Business Support for automation of forms used in stations, monitors use and provides feedback.
Job Specific Accountabilities (Part 2)
Assists in development of operational policies and procedures for stations. Receives all memos and correspondences related to tasks assigned by the management draft and types all internal and external correspondences at the Department level. Communicates administrative circulars and directions to all stations for compliance.
Performs other similar or related duties as and when assigned by direct supervisor, such as participating in company wide projects, preparing yearly budget, providing information to Internal Auditors, making suggestions relating to improved services to customers such as Smart Card customers and similar issues.
Prepares procedure, work instruction & process maps for ISO 9000 certification of filling station business. Coordinates the implementation of ISO in filling stations. Prepares monthly performance review presentation on balance scorecard measures and initiatives.
Orders & receives genuine filters, stationery, computer rolls, housekeeping, and automation for all region filling stations. Prepares GRN & VPA for processing payment. Places order for car wash chemicals, receives invoice and processes payment.
Checks filling station assets by location, sends print out for all filling stations for physical verification with the system print out and writes to finance for updating. Initiates write off old assets and demolished filling station assets.
Assists in carrying pout feasibility study for new filling stations, this includes profitability study for individual filling station and recommends action plan, conducts system and work instruction /procedure training for filling station supervisors. Enters filling stations staff leave and duty resumption in the system and maintain accurate records to staff leave & transfers

Has frequent contact with Finance & IT to coordinate activities.
Frequent contact with all stations and Sales Managers
Has frequent contact with the Retail Sales Department Manager to receive work instructions, advice & guidelines

Contact with external parties including consultants, third party service providers, and government agencies as required
Minimum Qualification
Completion of secondary school and 1 year professional training in sales analysis
Minimum Experience, Knowledge & Skills
PC literacy.
Thorough knowledge of filling station operation at the level of Supervisor
3 years’ experience in retail sales
Good knowledge of Arabic and English languages (spoken & written).

Physical Effort
Possible exposure to eyestrain due to computer usage 80% of work time. Standing and walking most of work time when visiting Filling Stations.
Work Environment
Duties are performed mostly in air conditioned surroundings.
