Summary

The Administrator provides administrative, knowledge management, and operational support to the Portfolio Growth and Performance (PGP) department in International Programs at Save the Children USA. This role requires strong attention to detail and proactive communication across the department, technical teams, other divisions, executive leadership, and with offices across Save the Children International.

What You’ll Be Doing (Essential Duties)

Opportunity Tracking and Pipeline Review Support (40%):

  • Daily scan of donor websites for the release of new funding opportunities within Save the Children thematic and geographic areas. Promptly circulate the information and related documents to the relevant teams.
  • Manage multiple databases related to funding opportunities and pursuit decisions to support accurate pipeline management, communications, and reporting.
  • Schedule monthly and quarterly pipeline meetings across divisional and agency leadership and produce pipeline reports to be reviewed in these meetings.
  • Report on public pipeline and select internal metrics to inform USG Strategy planning and senior management decisions.
  • Provide regular updates on trends and issues regarding pursuit status of upcoming opportunities to the New Business Development (NBD) team and other stakeholders.

Department Administration and Management Support (25%):

  • Lead preparation for the PGP All staff monthly meeting, including scheduling, collaborating with key stakeholders to determine the agenda, gathering inputs, and preparing the monthly presentation.
  • Coordinate PGP’s business processes, including travel arrangements, accounts payable, asset management, meeting preparation, new employee onboarding, and staff engagement events.
  • Support PGP department’s compliance with organizational policies regarding travel, procurement, and human resource administration.
  • Process consultant agreements and invoices in a timely manner.
  • Provide operational support for remote staff, including liaison with departments regarding travel, finance, IT, and other needs.
  • Respond to internal and external information inquiries.

Knowledge Management and Information (25%):

  • Coordinate information updates for PGP intranet pages, and regularly audit pages to ensure relevant and up-to-date content and links.
  • Assist in creating, designing, publishing, and managing access to PGP’s tools, webinars, and resources across the department.
  • Support PGP units and other agency departments and divisions in special projects related to Knowledge Management.
  • Request new codes from Finance team as needed in support of the Return-on-Investment (ROI) Project. Communicate codes with appropriate stakeholders and document codes in the internal tracking system.
  • Maintain departmental files/archives.

Other management duties and special projects (10%):

  • Represent PGP on strategic Agency initiatives, working groups and task forces as relevant to job scope, professional growth opportunity, and department needs.
  • Provide ad hoc proposal development and award management support, as needed.

Required Qualifications

  • Minimum of a High School Diploma or equivalent, plus at least 1 year of relevant experience or education.
  • Excellent attention to detail.
  • Demonstrated ability to prioritize and complete projects on time.
  • Ability to manage, analyze, and present data from varied sources.
  • Strong customer service and teambuilding orientation.
  • Professional proficiency in MS Office suite.
  • Professional proficiency in spoken and written English.
  • Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally.
  • Demonstrated commitment to fostering and maintaining an environment of diversity, inclusion, and belonging.

Preferred Qualifications

  • Prior experience with USAID-funded programs, including contracts, is a desirable advantage.
  • Experience working with different cultures and/or international experience.
  • Demonstrated competency in SharePoint.
  • Knowledge of web-based tools to support virtual collaboration.

Compensation

Save the Children is offering the following salary ranges for this position, dependent on candidate location:

  • Geo 1 – NY Metro, DC, and other locations with labor costs significantly above national average: Target hourly pay for this position is $22.07 – $24.66
  • Geo 2 – Locations around the US National Labor Cost Average: Target hourly pay for this position is $20.02 – $22.38
  • Geo 3 – Locations significantly below the US National Labor Cost Average: Target hourly pay for this position is $17.98 – $20.10

Actual base salary may vary based upon, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here). Employee may be eligible for an incentive program. Save the Children also offers paid vacation, accrued at least 12 days a year, depending on paygrade and length of service, paid safety and wellness leave of at least 1 day per month worked for a full time employee which is pro rata reduced for employees working less than a full time schedule, and at least 10 paid holidays a year. Employees may be eligible for additional bonus compensation.
