Your Opportunity:

Description:

The WHS Administrative Support role provides administrative support to the Director to which they are assigned. This position assists with the day-to-day operation of the Director’s team in the assigned zone by providing a full range of reasonably complex administrative duties such as: Managing RMS, e-People – Timekeeping, calendar maintenance, organizing travel arrangements. Transcribes, formats, edits and proofreads documents as required. Schedules and organizes meetings for the Director; includes sending notices, creating agendas, booking rooms, arranging audio-visual equipment and transcribes minutes for distribution. Maintains vacation schedule for management team. Acts as the contact person for other offices/departments/programs in AHS in the assigned area of responsibility. Assists in the development of WHS communications or other documentation as required. Processes purchase requests using online ordering system. Arranges and coordinates business functions i.e. conferences, information sessions as required by the Director. Provide vacation and task coverage as needed for the WHS Administrative Assistant team.

Required Qualifications:

High School Diploma with a minimum of four years related experience with progressively increased responsibilities and secondary education in Business Administration with designation as an Administrative Assistant or equivalent. In addition, the incumbent will possess a record of accomplishment in the following areas: Excellent communication/interpersonal/organizational skills. Ability to prioritize and balance workload. Ability to maintain confidentiality. Excellent written and verbal communication. Exemplary attendance and punctuality.

Preferred Qualifications:

Considerable knowledge in MS Word, Excel, PowerPoint, SharePoint, Visio, Outlook; e-People, RMS an asset.
