The Development and Outreach Department of Human Rights Watch (HRW) is seeking an Administrative Officer to provide operational, project and administrative support to the Office of the Chief Development Officer that oversees the organization’s development work, supervising a staff of over 120 professionals internationally. This full-time position will ideally be based in any of our European offices (Amsterdam, Brussels, Berlin, Geneva, London, Stockholm, Zurich), though other locations in Europe may be considered. The Administrative Officer reports to the Chief Development Officer (CDO) based in Geneva.

Due to COVID-19, many of our global offices are operating in reduced capacities. The successful candidate may be required to work remotely if local mandates necessitate. We recognize that this moment, during the pandemic, is a uniquely difficult time for most people, particularly those with caregiving responsibilities, and we aim to be as flexible and supportive as possible in both the recruitment for and onboarding of this position.

RESPONSIBILITIES*:*

1. Manage the calendar of the Chief Development Officer (CDO) in order to promote the most effective internal and external use of time;

2. Take initiative to ensure effective time management and anticipate opportunities to facilitate workflow;

3. Coordinate domestic and international travel schedules, including all logistics and appointments, of the CDO’s Office;

4. Plan and coordinate key internal and external meetings, including preparing agendas, minutes, documents, reports, and presentations, and coordinating follow-up on key actions;

5. Organize and facilitate regular meetings of staff in the CDO’s Office;

6. Facilitate and coordinate public speaking and other public engagements, including limited background research as needed to prepare briefings for the members of the CDO’s Office;

7. Implement and manage digital filing systems, document and content management systems, or other databases as needed;

8. Gain an overall understanding of strategies and objectives of the organization, the development department and the CDO’s Office;

9. Respond to internal requests for and support information sharing across program, advocacy, communications, legal affairs and operations so that the CDO’s Office can effectively support the organization;

10. Maintain strong working relationships with staff across the organization;

11. Support the recruitment of new staff and onboarding as needed;

12. Manage sensitive and confidential interactions between key internal and external individuals;

13. Process the CDO’s expenses and other relevant expenses and invoices; assist with tracking of the CDO’s Office finances; and

14. Perform other duties as required.

QUALIFICATIONS*:*

Education: A bachelor’s degree or equivalent work experience or training, preferably in business administration, nonprofit management or a related field, is required.

Experience: A minimum of three (3) years of high-level administrative experience is required, preferably providing administrative and project support to a senior level executive in a global organization. Experience and/or interest in international affairs and human rights is highly desirable.

Related Skills and Knowledge:

1. Ability to perform administrative tasks at the executive level and work independently on self-directed projects are required.

2. Excellent organizational, administrative, project management and analytical skills are required.

3. Excellent written and oral communication skills in English are required; fluency in another language is an asset.

4. Good judgment, discretion, and the ability to maintain confidentiality are required.

5. Strong computer skills, including Microsoft Excel, are required.

6. An innovative and proactive approach to improving existing internal process and structures is highly appreciated.

7. Excellent interpersonal skills are required to interact diplomatically with high-level individuals including Board members, donors, media, government, and other external contacts.

8. Ability to function under pressure, prioritize competing demands with minimal supervision and handle numerous tasks simultaneously and with accuracy are required.

9. Demonstrated ability to work successfully with a team of talented professionals in multiple global locations is required.
