BDF supports access to essential services for more than 1,400 vulnerable children and their families living in construction sites and urban slums every year. Through tailored educational programs and flexible individual support, BDF protects at-risk children and enables families to become self-sustainable to provide opportunities for a better future.

Job Description:

Job Title: Administrative Officer

Type of Contract: Full-time employment position for 1-year (with possibility of extension)

Department: Administration & Office Management

Location: Bangkok, Thailand

Expected Start Date: ASAP

Responsibilities of the advertised position:

Baan Dek Foundation is currently looking for a professional and dedicated local Administrator who is committed to supporting vulnerable children and communities living in Chiang Mai and Bangkok. The position will work under direct supervision of the Director of PR and HR based in Chiang Mai and the Management team in Bangkok.

Role and responsibilities include but are not restricted limited to:

HR & Admin

− Coordinating organizational administration, maintaining file and document organization (including contracts, visas, work permits, criminal record checks, and driving licenses)

− Supporting the Human Resource processes and the implementation of related policies in the branch in Bangkok

− Conducting translation of official documents and field materials between Thai and English

− Ensuring the working environment in the office in Bangkok remains suitable, contacting external services as needed (cleaning, maintenance services, etc.)

− Providing assistance with any task as per the needs of the organization and the management team.

Partnerships

− Assist Partnerships in day-to-day coordination with locally based partners and participate in fairs and events, as needed.

− On an interim basis, maintain the Dao stock/ inventory in Bangkok.

Finance

  • Working together with the finance department to handle the foundation’s petty cash in Bangkok. This includes the disbursement of advances and reimbursements of cash to staff based in Bangkok

  • Maintaining that formal cash disbursal requirements as defined in the financial policies are fulfilled

  • Under the supervision of the Accounting Manager, ensuring the receipt and financial practices in Bangkok are aligned to Thai Law, BDF’s Financial Policies and – ethical standards

  • Observing the cash count on a regular basis

  • Accurately recording all expenses into the petty cash register

  • Liaising with staff and suppliers as necessary

  • Supporting in processing quotations along with the requirements indicated in the financial policies

  • Supporting in the development of the financial policies, procedures, and accounting processes

  • Supporting periodical updates of the Foundation’s fixed assets and the related required mechanisms to ensure full transparency and sound management

  • Periodically join finance meetings

Programs

  • Upon request, Supporting in coordinating workshops / training with third party organizations.

  • Support BDF’s field programs by participating in field activities where possible. This responsibility also serves to keep the BDF support staff in touch with and well-informed of program activities and therefore able to communicate field impact to partners.

General

  • Represent Baan Dek Foundation upon request by welcoming, presenting Baan Dek programs and activities to visiting partners & sponsors as well as liaising with external stakeholders and presenting BDF programs and activities when requested.

Qualifications

Nationality: Thai nationality

Language requirements: Fluent Thai (spoken and written) and English proficient speaking and writing skills.

Education/ Experience:

Degree or experience in any of relevant fields: Administration, office management, accounting, secretarial work.

Minimum 1 year of experience in public relations, office administration is required. Experience in Thai English document translation / positions and accounting related to NGO or social work are considered as assets.

Working hours: Full time – Monday to Friday with occasional weekend and evenings

Salary & Compensation: Starting at 20,000 THB (to be defined based on experience and qualifications)
