General Summary/Overview Statement

Reporting to the Executive Administrative Director of OB/GYN and accountable to the Vice Chair of Education/Well-being and other department GME/UME leaders; the Education and Well-being Manager is responsible for the administrative management of the Department’s medical education and well-being programs. This over-sight includes the department’s four ACGME-accredited fellowships, the OB/GYN Clerkships for the Harvard Medical School Principal Clinical Experience, Advance Clinical Elective and Capstone students, as well as the MGH IPA Physician Assistant Program. The manager participates in the development of a strategic plan for the educational and well-being programming and advancement of the department’s learning environment.

Principal Duties And Responsibilities

Working in collaboration with the Vice Chair of Education and Well-being/MGB Associate Graduate Medical Education Director and department’s GME/UME leaders to enhance the department learning environment, the Education and Well-being Manager is responsible for :

  • Developing long-term strategies for education and well-being programing and opportunities, and overseeing coordination of these efforts
  • Enhancing and tracking department Center for Education & Well-being (CfE-W) scholarly portfolio
  • Managing and reporting well-being program funding, including a department well-being budget and MGPO Frigoletto Wellness grants
  • Managing, creating and implementing faculty development & well-being programs, including faculty mentoring, coaching, faculty development grand rounds, “Meet-up” support groups, the Education Road Show and well-being activities
  • Participating in the annual APGO conference to ensure compliance and promote curriculum development
  • Administrative Management of the Department of OB/GYN’s four fellowships, including:
    • Collaborating with the department’s fellowship program directors to oversee ACGME accreditation site visits, MGB GME internal reviews and annual reporting
    • Developing and managing consistent best practices across the four fellowships
    • Overseeing fellowships’ recruitment and marketing efforts, including websites
    • Managing programming, including the Fellows’ Works in Progress research meetings, Pan-Fellow Didactics and wellness programming for department fellows
    • Over-seeing and training fellowship coordinators, ensuring ACGME compliance across programs
    • Managing continuing education/comradery for fellowship coordinator with quarterly meetings.
  • Over-seeing and training the MGH Assistant Residency Coordinator.
  • Administrative management of the HMS Medical Student/MGH IHP PA clerkships to include:
    • Over-seeing and training the HMS OB/GYN Core Clerkship, MGH IHP PA OB/GYN Clerkship, and HMS Advance Clinical Elective/Capstone programs coordinators.
    • Participating in MGH UME Faculty and HMS OB/GYN Clerkship Committee meetings to ensure compliance with HMS & MGH regulations and best practices.
    • Monitoring faculty/student feed-back to create curriculum improvements.
    • Working in tandem with UME leadership to enhance curriculum to best support the learning environment
  • Liaison with MGB GME office to schedule Associate GME Director’s program reviews and appointments
  • Administrative support for Vice Chair of Education and Well-being, including scheduling, calendar maintenance, expenses and CV management

Maternal Fetal Medicine Fellowship Program Manager Responsibilities Include

  • Working in tandem with Program Director to ensure compliance of fellowship ACGME and ABOG guidelines.
  • Working with Program Director to prepare for ACGME site visits and/or MGB GME Internal Reviews.
  • Responsible for timely compilation and submission of ACGME, ABOG and MGB GME annual reporting.
  • Tracking faculty and fellow compliance with AGGME and MGB GME learning environment/work hour surveys.
  • Recruitment: processing and pre-screening fellowship applications for program director review
  • Managing annual fellowship interviews.
  • On-boarding new fellows.
  • Developing and monitoring fellows’ curriculum and block schedules.
  • Managing fellows’ call schedule in department system.
  • Scheduling weekly fellowship didactics, in accordance with core topics requirements
  • Creating and tracking program, faculty & fellow evaluations in New Innovations and MyTip Reports systems
  • Compiling and analyzing evaluations and GME/ACGME surveys, managing the Clinical Competency Committee
  • Tracking Milestones in New Innovations and the ACGME site
  • Compiling data and managing the Program Evaluation Committee, creating meeting minutes
  • Managing the fellowship Annual Performance Evaluation (APE) review, keeping the action items current
  • Tracking fellows’ graduation check list advancement, and documenting completion of each requirement
  • Developing fellowship fund policy; monitoring and processing fellowship expenses.
  • Maintaining the fellowship website

Performs all other duties that are department specific and are appropriate to this level of position.

Highly proficiency with Word, Access, Excel, PowerPoint and Outlook required.

SUPERVISORY RESPONSIBILITY (if Applicable)

Shares in the supervision of student and fellowship coordinators. Primary management for this staff resides with the Practice Manager and/or Administration Manager in their respective divisions but is accountable to this position for the tasks outlined.

Bachelor’s Degree, Business, Health Care Administration, or related field

Minimum of 3 to 5 years of directly related experience
