Job Summary
Provide administrative support and office management for the Data Science & Analytics and the Strategic Analysis & Accreditation teams. Manage fiscal procedures skillfully and accurately, including budget projections, expenditures, contracts, travel planning, and event logistics. Process related documents as needed to organize/retain records as needed. Interface with college departments, community partners, and students. Perform general office management tasks such as emailing, filing, screening calls, recording messages, entering data, performing research and analysis functions, receiving and distributing mail, composing business correspondence, and taking minutes.
Essential responsibilities and duties:
· Greeting and providing support to department visitors.
· Checking and maintaining office supply inventory, ordering new supplies as needed.
· Maintaining budget information, managing purchasing needs (using SLCCBuy, organizing invoices, purchase orders, receipts, and inventories), and tracking department IT inventory (laptops, etc.).
· Assisting in contracts processes with vendors.
· Coordinating special events.
· Providing office support (e.g., answering phones, copying, mailing, word processing, filing, taking meeting minutes).
· Supporting a higher level (e.g., data entry, using/maintaining databases, drafting and proofreading documents).
· Managing general office affairs
· Calendaring/scheduling meetings and appointments for AVP, directors, and staff.
· Performing functions to compile, write and edit finished memoranda, correspondences, reports, etc., using word processing and spreadsheet software.
· Maintaining and archiving records and files.
· Inputting payroll/leave time into the college system.
· Taking minutes, processing, and distributing minutes from various committees and department meetings.
Qualifications
- Associate degree or two (2) years of full-time post-high school education equivalent to 60 credit hours.
- Two (2) years of related, paid, full-time (or equivalent) work experience.
- Trade-off 1:1 in experience/educational requirement (Education may be substituted one-to-one with full-time work experience).
Preferred Qualifications
- Proficiency with Office Productivity software such as Email, Word, and Excel.
- Prior experience as an administrative assistant in an educational setting.
- Bilingual.

$34,329.84
