Job Description

Roles and Responsibilities:

Skills

In this position, the candidate will have an opportunity to develop His/ her skills as Administrative Assistant in EMEA. This assignment consists mainly of the below deliverables:

  • Organize and file the documentation created by EMEA Legal – including hard copies, filings in the Department’s data base (e.g., iValua); ensure compliance with applicable retention policies / best practices. Under the supervision of a paralegal, handle Outside Counsel engagement / retention letters.
  • Under the supervision of a paralegal, handle Outside Counsel purchase request / purchase orders (PR/PO) processes, following through to invoice payment.
  • Under the supervision of a paralegal, monitor and update the budget of the EMEA Legal Department and prepare budget forecast at the end of every quarter.
  • Support the paralegal on NDA related processes.
  • Support for signature requests.
  • Legalization of documents (incl. in front of the notary public).
  • Administration of the Intranet EMEA legal page.

Qualifications

Required Knowledge, Skills, and Experience:

  • Admin with proven experience with document management and process development in a corporate context, preferably at a global fast-paced company.
  • Highly structured self-starter, with ability to identify, promote and implement agile, intuitive and lean (minimal burden) organizational solutions.
  • Understanding / experience of complex, matrixed and dynamic (changing) global organizations.
  • Process and detail oriented professional with ability to cope with routines (“completer-finisher” in Belbin team roles).
  • Quick learner. Strong critical thinking and document management skills. Sound judgement. Strong oral and written communication skills, excellent organizational skills, time-management ability, accurate with excellent attention to detail, and a drive to improve processes and tools.
  • Ability to prioritize accurately, multi-task and to thrive in a complex and fast-paced changing environment.
  • Experience with stakeholder management and strong interpersonal skills to participate in a collaborative working environment, while being able to work independently in an effective manner.
  • Professional proficiency in English – proficiency in German.
  • High integrity and commitment to the highest ethical standards while working with a wide range of confidential documents.
  • Ability to work from home as requested in the context of the pandemic.
  • IT skills: Professional in Excel, Word, PowerPoint.

Geographical Assignment

  • Europe.
  • Occasional tasks at Global level.
