Summary

Westport Properties continues to grow rapidly, we are seeking an administrative assistant to provide personalized and department support for the IT department. This individual will be responsible for a variety of clerical and administrative duties. The Administrative Assistant will have the ability to work closely with employees, management and IT vendors with a variety of IT skills levels.

Job Title/Type: Administrative Assistant/Full-Time

Reports to: Director of IT

Location: Irvine, CA

Hourly range: $18 – $23 per hour

FLSA Status: Non-Exempt

Work Schedule: Monday – Friday (8:00 am – 5:00 pm) – may change due to special projects and/or assignments

Travel: N/A

Duties & Responsibilities

  • Assist the IT department with any administrative or clerical duties that may apply.
  • Scheduling appointments and maintaining calendars.
  • Assist with drafting general IT procedure manuals (i.e. tutorials, how-to-guides)
  • Small percentage of travel may be required depending on project assignment.
  • Responsible for taking meeting notes and disseminating information.
  • Help with shipping and receiving various lightweight equipment.
  • Credit Card Reconciliation.
  • Inventory asset allocation.
  • Manage Office parking and office access cards.

Qualifications Required

  • Minimum 1-2 years of experience working in corporate office setting.
  • Familiarity with electronic equipment, Internet applications and security
  • Proficient in Microsoft Office Suite – Word, Excel, and Outlook
  • Ability to understand and convey Company Policies and relevant industry standards
  • Ability to handle all Department and Company matters with confidentiality and in a timely matter
  • Ability to effectively communicate while exercising diplomacy, sound judgment and tact
  • Ability to deal effectively with co-workers, department supervisors and managers, and other consultants and/or vendors
  • Ability to meet deadlines on time with minimal supervision
  • Ability to work flexible hours depending on various departmental project deadlines and/or Company sponsored programs (may include evenings and weekends)

Education / Experience

  • High School Diploma with some college required
  • Preferred Associate’s and/or Bachelor’s degree in business administration.
  • Relevant years of work experience and certification may substitute for degree requirement
