International Potato Center

The International Potato Center (CIP) is looking for a procative Administrative Assistant to support the implementation of the project “Potato production through zero-tillage with straw mulch: an innovative technology for sustainable intensification and diversification of rice-based systems to improve livelihoods of small-scale farmers in Asia” in Patna, Bihar, India.

About the role: The successful candidate will work with interdisciplinary teams at CIP’s regional office in New Delhi and headquarters in Lima, Peru. This position will be based in Patna, Bihar, India and will report to the Project Manager/Project Investigator.

Key responsibilities:

· Provide logistical and technical support to projects in administrative issues.

· Assemble and draft documents, reports, requiring the integration of information from multiple sources and application of office technology and software, often of a highly technical and/or confidential nature, to ensure availability and accuracy of draft documents.

· Coordinate and update the events calendar and support organization of project’s meetings and events.

· Coordinate and manage supply chain and resource requirements to maintain an adequate level of office supplies and good functioning of equipment.

· Provide administrative support in the formulation of the project’s budget, operational plans and related policies and procedures to facilitate planning function.

· Oversee and keep track of project budget and overall expenses to guarantee that all charges matched and coordinate with finance when needed.

· Coordinate national and international trips and provide assistance to ensure all the arrangements (travel and lodging) and travel matters are being followed correctly.

· Keep updated and organized administrative papers, such as project’s publications and trips report to maintain databases.

· Support project with organize collection of data, payments to participants, helping organize surveys, helping organize field workers, etc.

· Comply with national and international health and safety laws, regulations and standards

What are we looking for?

· Technical or Bachelor degree in secretarial administration or related areas.

· Three (Bachelor’s degree) to five years (Technical’s degree) of experience required in similar positions in a non for profit organization.

· Excellent skills in handling office technology and software applications.

· Outstanding writing and reporting skills.

· Experience in data collection, survey design, etc. added advantage.

· Ability to organize project activities and processes.

· Fluent in official language according to country location (Patna).

· Advanced written and oral communication skills in English.
