The administrative assistant organizes and coordinates office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety. The ideal candidate will be experienced in handling a wide range of administrative and support related tasks and is able to work independently. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. This position is based in the Washington, DC headquarters of IESC and will report to the Vice President of Operations.

Duties/Responsibilities

  • Serve as receptionist and provide coverage for front desk
  • Greet and direct visitors
  • Maintain front office communications systems including answering main phone line (staff have direct lines), monitoring general information email inbox, and taking messages or forwarding calls for various personnel as needed
  • Coordinate development and maintenance of appropriate Washington, DC office administrative filing systems and databases
  • Coordinate with property management for the repair, maintenance, and security of office spaces
  • Coordinate relationships with vendors for office management/facilities issues
  • Manage inventory and ordering of supplies, including distribution within the Washington, DC office
  • Coordinate Washington, DC office organizational and staff events
  • Oversee maintenance of office tracking systems including communications, supplies, shipping, and others as needed
  • Manage distribution and tracking of office keys
  • Coordinate hoteling schedule
  • Receive, sort, and forward incoming mail, as well as packages from couriers, etc.
  • Coordinate the pick-up and delivery of US postal service and express mail services (FedEx, UPS, DHL)
  • Welcome and provide general office orientation to new staff
  • May also assist with other related clerical duties such as photocopying, filing and collating
  • Provide administrative support to the CEO as needed
  • Provide support to the CEO including facilitating communications, schedule, travel, and meetings, including coordination with IESC Board Members
  • Provide administrative support for IESC board meetings
  • Provide other administrative support to office as needed

QUALIFICATIONS

  • Bachelor’s degree
  • Six months to one (1) year of relevant experience and/or training, or equivalent combination of education and experience
  • Good working knowledge of Microsoft Office Suite and other software packages
  • Strong internet research capabilities
  • Excellent verbal and written communication skills
  • Possess exceptional interpersonal communication skills and ability to interact with a diverse and international workforce
  • Self-starter, possession of strong organizational skills, adaptable, and able to prioritize among multiple requests
  • Prior work experience in international development community preferred
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Able to work collectively with administrative team associates
