Duty Station: Geneva, Switzerland

Classification: General Service Staff, Grade G4

Type of Appointment: Fixed term, one year with possibility of extension

Context:

Under the overall supervision of Deputy Director General (DDG) – Operations and direct supervision of the Special Adviser to the DDG for Operations, the Administrative Assistant will be responsible in supporting the Office of DDG (Operations) in coordinating all administrative related work of the Unit.

Core Functions / Responsibilities:

  1. Prepare the Travel Requests, coordinate bookings and process travel claims of senior staff in the unit.

  2. Process and coordinate Purchase Requisition Forms.

  3. Support and liaise with BUD and ACO regarding recruitment, contracts and invoices payments.

  4. Coordinate the signature of Note Verbales.

  5. Organize meetings with external stakeholders.

  6. Assist with the liaison within the Department.

  7. Perform such other duties as may be required.

Required Qualifications and Experience:

Education

• University degree in Business Administration, Finance, Accounting, Management, or a related field from an accredited academic institution with two years of relevant professional experience; or,

• Completed High school/Secondary school education with four years of relevant professional experience.

Experience

• At least three years of experience providing administrative support in the context of a large organization;

• Experience with procurement processes;

• Experience coordinating building and equipment maintenance; and,

• Experience in an accounting role would be an advantage.

Skills

• Thorough knowledge of the Microsoft Office suite (Word, Excel, PowerPoint, etc.); and,

• Knowledge of Microsoft Office collaboration tools (Teams, SharePoint) would be a strong advantage.

Languages

IOM’s official languages are English, French and Spanish.

For this position, fluency in French and working knowledge of English is required (oral and written). Working knowledge of Spanish is an advantage.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
