A New Jersey-based nonprofit organization is currently seeking a new Administrative Assistant for a great opportunity at one of their schools. In this role, the Administrative Assistant will be responsible for providing office support services for leasing and operations at the property level.

Responsibilities

The Administrative Assistant will be responsible for:

  • Act as a liaison between the Principal and the facilities vendors; schedule facilities-related maintenance and appointments with vendors
  • Create purchase orders for facilities-related invoices and obtain supervisor approval; create purchase orders for IT-related services and equipment and obtain supervisor approval
  • Maintain the continuing education budgets for all full-time staff members; assist staff in registering for continuing education courses and manage the related purchase orders
  • Work with the business office to close out monthly expenses if they have any questions
  • Run monthly SEMI reports and distribute to the districts
  • Order housekeeping supplies and equipment, create corresponding purchase orders
  • Review and copy edit memos, forms and letters from the Principal; distribute memos, forms and letters from the Executive Director and Principal
  • Assist the Principal in collecting and tracking annual performance reviews; create and maintain staff files for the Principal
  • Perform other duties, as needed

Qualifications

  • 2+ years of Administrative experience
  • Associate’s and/or Bachelor’s Degree
  • Computer savvy
  • Microsoft Office Suite proficient
  • Solid problem solving and time management skills
  • Exceptional phone etiquette
  • Great interpersonal skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized
  • Able to multitask efficiently and effectively

Desired Skills

  • Experience in a Nonprofit setting
