Job Summary:

This position serves as the primary contact for the administrative and operational aspects of the JFS Boulder Department. Will work to support operational efficiencies and help develop protocols, systems, and policies to support the department. Will manage participant database for tracking referrals, enrollment; gather and organize information about problems to be solved or procedures to be improved. Responsible for clerical and data entry duties to support the department. Position is located virtually and will be in-person/hybrid once safe to do so.

Qualifications:

Education:

  • Associate Degree; Bachelor Degree preferred.

Experience:

  • Four years’ customer service/administrative experience with advanced Microsoft Office, Excel, and data entry skills required (Carelogic or similar client database experience helpful).
  • Knowledge of office procedures, solid organizational skills, analytical expertise, and computer competency required.

Other:                

  • Effective communication, organizational and interpersonal skills.

Responsibilities:

  • Analyze data and reconcile discrepancies from multiple data sources
  • Develop solutions or alternative practices that streamline efficiencies within the Boulder office and between Boulder and Denver. Utilization data, accounting/grant reconciliation (BCCC, BEHAP) from spreadsheets (project utilization based on enrollment in programs thereby projecting expenditures); recommend protocols to improve and align with Denver in all program areas and all systems. Standardizing data entry, checklists, case management parameters
  • Organize Boulder Emergency Assistance Program business processes from incoming applications
  • Organize the BCCC (Boulder County Crisis Counseling) program operations and respond to external inquiries on billing and invoicing
  • Recommend new systems, procedures, or policy changes to improve service delivery and accountability systems 
  • Make recommendations to management based on observation and data analysis
  • Confer with managers to ensure changes are working
  • Serve as a liaison between the Boulder Office and data/systems resources in pertinent divisions in Denver (Community Resources for Stabilization (CRS) for alignment with BEHAP and Care Logic database); Aging Care & Connections (ACC) for alignment with protocols; data tracking for case management aligned to CRS standards; Care Logic and JFS Operations
  • Conduct a variety of administrative, productivity, and efficiency analyses of operational systems and procedures.
  • Conduct research and analysis on a variety of issues and topics requested by Boulder and pertinent collaborative divisions in Denver; participate in special projects; research issues, and document findings.
  • Conduct analyses and policy review as requested by assigned departments or by supervisor; identify opportunities for improvement and make recommendations.
  • Process referrals and new participants; review referral documents for accuracy and eligibility; maintain weekly intake information on spreadsheet; forward accurate referrals to appropriate staff; enter clients into Carelogic and other systems; set up sessions, meetings, new funding, step codes, activity types, and terminations
  • Maintain client data integrity in all systems. Monitor and enter participant information into multiple databases. This includes participant demographics, activity tracking, billing, and funding needs
  • Schedule, maintain and set JFS Boulder calendars, meetings, and act as an information clearinghouse and coordinator for the department

Compensation: $21.00 – $26.00 – $30.00 per hour
