Project Overview:

The Pacific Labour Facility (PLF) facilitates seasonal and longer-term work opportunities for Pacific workers in Australia. It connects Australian employers with Pacific workers under the newly introduced Pacific Australia Labour Mobility (PALM) scheme which combines the existing Pacific Labour Scheme (PLS) and Seasonal Worker Programme (SWP).

Role Overview:

The Administration Assistant – Communications & Events will work with the Communications and Engagement Manager to coordinate the communications administration requirements of the Pacific Labour Facility (PLF) and support engagement activities with a range of stakeholders and audiences (internal PLF staff, the Department of Foreign Affairs and Trade (DFAT), Pacific governments and labour sending units, industry stakeholders and partners, the wider development community, the general public) via a range of print, broadcast, digital and in-person formats including advertising, trade and industry media, digital and social media, email newsletters and events.

Responsibilities:

  • Support the general administration and delivery of the PLF’s internal communications and engagement function and knowledge management function, via print channels, online platforms and in-person events
  • Provide event coordination and logistics support to PLF funded events and promotional activities as required, including schedules, logistics, venue bookings, delivery, etc
  • Support communications procurement activities as required
  • Maintain the communications team’s online filing and document management systems, ensuring these are well structured, organised and secure
  • Support the coordination of the communications team’s ongoing budget forecasting management
  • Administration and delivery of engaging and accurate communication and engagement show_content for publication and sharing on various platforms
  • Assist with special projects, such as process improvements and implementing new policies and communications platforms or channels

Qualifications and Experience:

  • A relevant qualification in the area of Administration/Business or an equivalent combination of relevant experience and/or education
  • Demonstrated administrative experience, including finance, budget and procurement coordination (e.g., venue hire, printing, etc.), ideally in a communications, marketing or media environment
  • Experience working with geographically disperse teams and communicating with a range of stakeholder groups
  • Experience liaising with suppliers and sub-contractors
  • Good working knowledge of commonly used software (Microsoft suite, internal messaging and show_content management systems)
  • Demonstrated and meticulous time, task management, problem-solving and presentation skills
  • Demonstrated high level of written, interpersonal and verbal communication skills, including fluency in written and spoken English.
  • Personal initiative, creativity, adaptability and drive.
  • Willingness to travel.
  • Demonstrated experience working in show_content production with a range of stakeholder engagement tools and software, e.g., email newsletters, digital website show_content management systems, Adobe suite, Yammer, etc.

The successful candidate will be offered an initial contract to 30 June 2023. You must have valid Australian work rights to be considered for this position – visa sponsorship is not available.

This is a Brisbane based role with options for flexible working. Candidates who are willing to relocate for the position must do so at their own expense.
