Job Description Details:

Job purpose:

  • Meeting the requirements of supporters in terms of accuracy of the information, adherence to standards and time limits, and developing procedures according to donor requirements.

  • The Compliance Coordinator supervises the implementation of accountability and compliance in Bonyan, approving the review and auditing processes for all project documents, and ensuring the correctness of its operations, the completeness of its procedures, signatures, and compliance with Bonyan standards, policies, and donor requirements.

  • Supervising the submission of periodic reports to donors, and submitting periodic reports to the Executive Director.

Duties and Responsibilities:

Capacity building

  • Provide support to the Executive Director in order to implement work plans and strategies and implement all processes for auditing project documents required for donors according to the specified times and requirements of donors.

  • Preparing a work guide and checklists in the commitment department and working on developing and updating them on an ongoing basis according to donor requirements.

  • Coordination with the various departments in the organization (human resources, financial, procurement), and providing support and advice to them in preparing documents to be audited and reviewed by the donors.

  • Participate in submitting proposals to mitigate potential risks and develop policies and procedures.

  • Approval of all program-related documents (human resources, financial, procurement) and ensure that they are accurate, reliable, transparent and fair, and in conformity with the policies and procedures of the Bonyan Organization.

  • Directly responsible for representing the organization before the auditors on programs and projects, whether external auditors or by the donor, and meeting all their requirements accurately and professionally.

  • Assisting in the preparation of documents for external or internal auditing or checking the internal capabilities of the organization before starting any partnership with others, in close cooperation with other departments (due diligence).

  • Supervising the process of verifying the commitment of the implementing partners to the procedures and policies of Bonyan organization and the terms of the agreements concluded with them.

  • Responding to audit reports with all matters related to observations and shortcomings, following up on the implementation of recommendations, and realizing the observations issued by them.

  • Strengthening the capabilities of the organization’s employees in accountability and commitment, and providing or proposing the necessary training to improve performance in applying the Compliance Department’s work manual.

  • Enhancing the capabilities of the implementing partners and working on developing their own policies, procedures, and models, in line with the requirements of Bonyan.

  • Setting the budget for the compliance department and setting the training needs of the compliance team.

  • Supervising the provision of permanent technical support to the field work team and other departments in the organization and effective communication to explain and explain procedures to employees, suppliers and contractors on an ongoing basis.

  • Contribute to the development of a record of lessons learned through review and auditing processes, and enhance the use of them in future projects.

  • Participate in the opening and closing meetings of projects to share lessons learned from previous verification processes and clarify donor guidelines and directions.

  • Participate in reducing the risks of fraud, corruption and bribery by ensuring the dissemination of awareness and training to adhere to the procedures of the Bonyan Organization and its code of conduct.

  • Participate in investigations of fraud, corruption and bribery operations, according to the opinion of the operations manager/executive director.

  • Attending training courses with donors or which are specified by the department or human resources that is about management and its related to work and joining every program that develops job performance.

  • Performing any other tasks related to the field of work at the request of the Executive Director.

Communication:

Participate and attend the periodic meetings (monthly) of the commitment clusters and other related clusters to review the practices of donors and other organizations and document all updates and submit them to the Executive Director.

Work Reports:

  1. Submit periodic reports to the Executive Director.

  2. Coordination with relevant departments to prepare periodic and final reports and upon request for donors.

  3. Receiving monthly reports from departments (human resources, procurement, supply and finance) according to each project and according to approved forms.

Academic Qualifications:

  • A university degree in business administration, finance, accounting or any related field + 6 years of experience in the technical field, including (3 years in the field of humanitarian organizations and 2 years of administrative and supervisory experience).

  • An average institute certificate + 10 years of experience in the field, including (6 years of experience in the field of humanitarian organizations and 3 years of administrative and supervisory experience).

Competencies and Skills:

  • Strong organizational and management skills and the ability to make decisions independently and give appropriate judgments

  • Experience in working in the fields of projects and how to implement activities and their documentation.

  • Experience in auditing and compliance and the ability to follow up on details.

  • A high sense of responsibility.

  • High skills in communication and organization.

  • Analytical skills and the ability to think logically and handle issues professionally.

  • High skills in working on the computer and Office programs.

  • Distinguished ability to save and archive documents.

  • Skills in working under pressure and in exceptional circumstances, self-control and not working with reactions.

  • The ability to analyze, focus and solve complex problems.

  • Experience in working in emergency situations.

  • High communication and negotiation skills

  • Excellent experience in speaking and writing reports in both English and Arabic.
