General View of the Position

Under the supervision of Program Officer/s, the Program Assistant will be responsible for assisting the program officer/s in supervising and monitoring the progress of the projects, in the Protection and Education department, operationally and financially according to the work plans and ensuring strict adherence to the humanitarian and protection principles.

He/she will be responsible for supporting the daily implementation, following up on activities, reviewing PRs, and providing the required support for field teams.

Job Duties and Responsibilities

  • Timely collection, compilation, analysis, production, and submission of the project data and information for monthly, quarterly, and final reports as per the guidance of the supervisor
  • Full and comprehensive documentation of all the project activities according to the department-adapted approach and donor’s requirements.
  • Assist in drafting project reports as per the line manager’s guidance.
  • Follow up on the day-to-day implementation of activities with the field team.
  • Preparing and submitting PRs and following up with the supporting departments on the actions needed to be taken.
  • Supporting the officers in reviewing financial reports according to the PRs trackers and projects’ projections.
  • Follow up on the procurement plan, recruitment plan, and work plan under the supervision of the line manager.
  • Attending internal and external meetings as per the line manager’s instructions.
  • Assist the project team in undertaking financial tracking and expenditure VS actual monthly.
  • Assisting the project team in the timely delivery of the project’s activities within the approved scope and budget.
  • Contribute to timely and quality implementation of the project in line with its work plan.
  • Contribute to the measurement of the project performance using appropriate systems, tools, and techniques.
  • Assist in the coordination process with the MEAL department to develop needed tools, take corrective measures as per the evaluation reports, and follow up on the ITT.
  • Assist in collecting the needed media documentation including human interest stories.

Academic Qualification/s and Professional Experience

  • Bachelor’s degree in Business administration, Educational Studies, or other appropriate fields; or at least 1 year of work experience.
  • Language proficiency:
  • Arabic: native
  • English: Intermediate (reading, writing, and speaking)
  • familiarity with the education and protection-related situation across North Syria
  • Transparency, Problem-solving, and team working skills.
  • Advanced computer skills in Excel, Word processing, outlook, and writing emails.
  • Experience in writing narrative and technical reports in English.
  • Good command of excel, word, and other office applications.
  • Ability to work with limited supervision.
  • Transparency, Problem-solving, and team working skills.
