Job Summary

The purpose of this position is to support for delivery of facilities management services and manage multiple facilities management functions of building operations and maintenance for a facility, campus or portfolio of buildings of significant complexity.

Essential Duties And Responsibilities

Supports to facility management staff to deliver service levels within the prescribed budget to the client.

Develops and maintains positive client relationships.Conducts client meetings on unresolved facility issues in an expeditious and professional manner.Communicates to clients regarding property profiles, emergency preparedness plans, site inspections, facility audits, work order progress reports, and other related reports.

Responds to client inquires and concerns.Ensures timely and quality service delivery to clients.Follows up with clients to ensure customer satisfaction.

Creates work orders and assigns work orders to multiple technicians, subcontractors and vendors.Communicates work orders to technicians and assists management in resolving problems.

Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.

Supports various budget reports for multiple facilities.

Maintains files on work orders, proposals, and department files.

Creates vendor files and checks accuracy on completed paperwork submitted by vendors.

Trains vendors on work order and billing procedures.Processes invoices and ensures proper cost center coding.

Assists with the inspections on the facility campus.

Uses pc and/or PDA for work order system, email, ESS and training.

Assist with process and procedure training.

Other duties may be assigned.

Supervisory Responsibilities

Supports Account Lead for staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Mentors and coaches team members to further develop competencies.Leads by example and models behaviors that are consistent with the company’s RISE values.

EDUCATION And EXPERIENCE

Bachelor’s degree required. Minimum of two years of related experience and/or training.

Communication Skills

Ability to comprehend and interpret instructions in English and local language, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. Ability to coordinate requirements according to the situation and to prioritize your work.

FINANCIAL KNOWLEDGE Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports. REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS And/or ABILITIES

Intermediate skills with Microsoft Office Suite, Outlook, intranet/internet. Ability to use work order system.

Vender management

Quotation review and beading skills are required, reasonable companies are selected, PO management and tax invoice processing capabilities are required.

Other Administration works as needed under the scope SCOPE OF RESPONSIBILITY

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
