SHIPPING COORDINATOR
The shipping coordinator will work within our Logistics/Operations team to manage parcel freight program and marketing shipments, sample management including freight management and logistics support for import programs. This person will work with sales, marketing and other people in the operations department to manage various business needs related to customer orders. They will be responsible for being a liaison with manufacturers, freight forwarders, 3PL, and internal teams for the aspects of the accounts they support.
RESPONSIBILITIES
:
Shipment Program Management
Work with the team and third-party shipping carriers to help manage, understand and analyze rate structure and account(s)
Assist with defining best practices and creating standard operating procedures for domestic & international shipping to reduce costs while achieving desired timetables for shipments
Help manage parcel & LTL freight requirements for marketing and sales department including preparing labels, documents etc.
Review on a timely basis all invoices and approve and/or correct for payment
Research problem invoices for resolution with Fed Ex Rep and MBG A/P department and make suggestions for improvements in procedures if applicable
Assist with customs support as needed
Work cross-functionally with other departments to coordinate all sample and special-order shipments
Work with the team, freight forwarders and shipping carriers to negotiate best shipping rates and timetables in accordance with desired objectives and requirements
Supplies Procurement
Manage the accounts for all shipping carriers and act as designated point person for all inbound/outbound shipments, pricing, and labels, and coordination of pickups
Manage inventory and order supplies as needed
Check and approve invoices for all our suppliers related to duties: Lodico, Pitney Bowes, BBox
Logistics Support
Coordinating the day to day shipping and administrative tasks necessary for ensuring the successful/timely production, transportation and delivery of merchandise (both DI and/or DDP).
Frequent communication and follow-up with multiple factories to ensure production, inspection and shipping schedule is on track
Frequent communication and follow-up with multiple forwarders/carriers and customs broker to ensure shipping/customs clearance/delivery is on track
Verify best rates and transit time with multiple forwarders for each shipment
Frequent communication with different departments as necessary to advise status of shipments
Ensure customer compliance (based on customer ship guides) to avoid chargebacks/delays
Expect extra follow-up with factories/forwarders/delivery DCs if/when POs were shipped incorrectly
Data Entry: Make sure to properly record status of all shipments in real time
Help maintain purchase order system tracking reports as well as internal system (SAGE)
QUALIFICATIONS:
1-3 years experience in operations, logistics and/or account coordination in a consumer driven business
Proficiency in Microsoft office, inventory management systems and sales systems
Knowledge of customs, particularly the Canadian and American Border agencies a plus
Strong analytical and organizational skills, with a proven track record multi-tasking in a dynamic and fast-paced environment
Excellent verbal and written communication skills
Pro-active self-starter, disciplined, solution-oriented with a strong attention to detail
Bachelor’s degree or secondary degree a plus
