Job title: Office Assistant

Reporting to: Administration and Logistics Manager

Grade: 1

Location: Nairobi

Duration: 10.5 months with possibility of renewal subject to availability of funding and performance

Introduction

This rights-based approach, based on international human rights, humanitarian and refugee law and practice, provides a programming framework for HIAS’ focus on refugee protection. This framework prioritizes programming impact that ensures forcibly displaced people realize their potential and become contributors to society, with this impact being achieved through the realization of legal and civil rights and social and economic rights including through 1) the right to protection from harm, violence and discrimination, 2) the right to recovery from the shock of displacement, and 3) the right to economic self-sufficiency and inclusion.

HIAS seeks to recruit an Office Assistant who will ensure high standard of hygiene and cleanliness throughout the premises.

Main Duties & Responsibilities

· Develop routines to ensure all areas of the office are maintained to a high standard of cleanliness.

· Cleaning offices, machines/equipment/apparatus

· Dust the offices and ensure habitable office conditions.

· Move or carry office equipment, furniture and ensure orderly arrangement

· Monitor and manage inventory of office supplies; order and distribute office supplies as necessary

· Ensure that cleaning supplies are available in all sanitary places

· Use cleaning materials and consumables economically

· Empty general waste refuse bins and ensure all refuse is disposed promptly and using proper disposal methods.

· Disinfect dustbins regularly

· Perform other administrative support tasks, including updating and sorting files, making payment requisitions etc.

· Any other duties assigned.

Job Specification

· Minimum of secondary school education

· Certificate in housekeeping/In any related field

· Minimum of 1-2 years’ previous job experience as an Office Assistant or in a comparable position in a public or private institution

· Certificate in computer applications from a recognized institution will be an added advantage

Skills and Competencies

· Excellent communication and interpersonal skills

· Demonstrated ability to prioritize and perform multiple tasks simultaneously

· Outstanding customer service skills

· Proven ability to work effectively individually and with a team

· Ability to follow oral and written instructions.

· Knowledge of Accountability to Affected Populations

· Knowledge of PSEA
