The Events Planner handles both administrative and operational aspects of planning investor events. The role involves the use of event technology, such as building registration websites and events applications, as well as managing attendee data and providing event reporting/analytics. The ideal individual thrives in a fast-paced corporate environment and possess the ability to wear many hats. A proactive, team-player attitude is a must. Excellent communication skills are essential for success in the role.

Primary Responsibilities

The Event Planner will have exposure to senior leadership and will have room to grow within the organization. As an Associate on the Marketing team, you will manage multiple responsibilities across the team including:
Responsible for planning, organizing, and executing various investor events, but not limited to annual meetings, advisory board meetings, conferences, investor days, product-specific due diligence sessions, breakfast, lunch, dinners, internal and offsites
Responsible for all aspects of event management, including site selection, contract negotiation, proposal planning, budget management, transportation arrangements, hotel attrition and cancellations, production of meeting materials, registration, and database/on-site management
Establish working relationships with various hotels and vendors in relation to meetings/events.
Regularly update and maintain the Events Calendar
Manage and provide ongoing oversight of Marketing’s expense allocation processes and conference budgeting
Manage and execute event registration websites (manage change requests and updates)
Provide post event reporting and analytics
Build and maintain strong and effective relationships with our preferred vendors/suppliers
Responsible for packing/shipping of supplies to and from event destination, ordering signage/department supplies and other duties as assigned
Work closely with Accounts Payable to ensure invoice/payment requests are properly processes

Requirements

Qualifications & Experience
5+ years’ experience in the financial industry within events, meeting planning and registration technology
Bachelor’s Degree required
Experience working in an asset management firm or investment bank is a plus but is not required.
Experience with Cvent, Salesforce, Concise, PollEverywhere, advanced Microsoft Office Suite – specifically with Excel
Able to travel when required to be on-site at events and/or troubleshoot remotely
Flexible and willing to work outside of normal business hours when needed
Excellent written and interpersonal communication skills and is able to effectively communicate across all levels of the organization
Demonstrated ability to build and maintain relationships
Strong organizational skills and the ability to multi-task while maintaining high quality standards
Great initiative, leadership qualities and the ability to work well within a group or alone
