Do you want to help make the world a better place with your knowledge of executive support? We’re seeking an Executive Assistant based in Berlin to support the Director of Operations for the Europe and Central Asia Region, and Berlin Office Director with a wide variety of tasks.

The Europe and Central Asia Region of Open Society Foundations is an integrated program of grant-making, policy advocacy, strategic litigation and impact investment with the ambition of strengthening democracy and respect for open society values across the region, with an extensive funding and operational portfolio. The Director of Operations is responsible for ensuring the effective administrative and budgetary implementation of the region’s activities, as well as the management of service functions at the Berlin Office.
As An Executive Assistant At Open Society You Will
- Manage the Director’s day to day calendar and meeting schedule, including making appointments and prioritizing the most sensitive matters and all relevant meeting organization tasks (sending reminders, catering, other logistics);
- Develop and maintain relationships with existing networks in Berlin and across the regions;
- Provide administrative assistance, such as drafting and editing emails, memos, preparing communication on behalf of the Director;
- Coordinate and administer travel arrangements (both domestic and international), creating trip itineraries and administering travel expenses using provided online tools;
- Perform contractual and finance related tasks for the in close cooperation with operational units;
- Master various software, including MS Office, OSF’s contract, financial tracking, room booking and training management tools;
- Work as part of a wider team of Executive Assistants and other Executive support colleagues and contribute actively to the development of effective coordination of the tasks of the Europe and Central Asia Region’s Executive Office.
What We Are Looking For
- Minimum 5 years of experience as an assistant or support staff member to Executives in high pressure roles in the corporate, institutional or NGO sector;
- Demonstrable competence for the above listed tasks, with clear mastery of communication and workflow management in complex organizations;
- Independent workstyle with pro-active approach to handling daily tasks and responsibilities;
- Ability to manage competing priorities and to work under pressure, in a continuously changing environment;
- Fluency in German and English both writing and speaking; additional languages an advantage;
- Commitment to continuous learning and growth in the areas of diversity, equity, inclusion, antiracism and social justice;
- Commitment to ways of working that are respectful to all people; and that support space and voice for all diverse perspectives in our workplace.
Desirable (but Not Required)
- Existing network of NGOs, advocacy groups in Berlin;
- Project management experience;
- Previous experience in programmatic or office operations.
