The Executive Assistant will provide high-level administrative support to the CFO and CSO (Chief Strategy Officer). This is a role-based out of our L.A. office in a hybrid work schedule.
What You Will Be Doing
- Executive event planning and execution
- Managing the day-to-day calendar which includes rearranging schedules to prioritize the most important meetings, sending calendar invites and reminders, and organizing in-person/virtual meetings
- Coordinating with other EAs across the company
- Providing primary administrative support for the weekly executive leadership team meetings
- CFO related support including coordination with investor relations, tax, legal, and international
- Support with Notarizing, Purchase Orders, and Invoices
- Manage sensitive matters with a high level of confidentiality and discretion
- Arrange travel and accommodations for executives. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executives are involved with
- Assist in preparing and managing presentations and decks.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours
What We Look For
- Bachelor’s Degree (BA) from a four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
- Experience with Google Suite (Gmail, Docs, Sheets, Slides, etc) and Microsoft Office. Experience with OmniGraffle or equivalent software is a plus.
- Licensed Notary preferred although we are happy to provide for notary training and certification
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Detail-oriented and great organizational skills
