The Administrative Assistant performs highly responsible, complex administrative and secretarial duties for assigned faculty and staff to include extensive administrative and/or secretarial functions.
Key Functions
Administrative/Secretarial Support
- Support assigned faculty, staff and laboratories with calendar management, travel arrangements, completion of institutional forms
- Update Curriculum vitae, Biosketch and other relevant documents, arrange meetings, process reimbursements and leave requests.
- Arrange travel for all assigned staff and their direct reports.
- Meet with the faculty to review travel plans for confirmation to ensure successful meeting and travel results.
- Identify and meet deadlines for travel-related papers, abstracts, photos, biographical information, etc.
- Schedule and prepare itineraries for visiting physicians, researchers, and other colleagues.
- Coordinate all travel activities.
Departmental Support
- Assist with departmental administrative operations which include, but are not limited to general office administration, backup support to administrative staff on leave, upkeep of comprehensive training manual for the position, conference room scheduling, departmental mail pick up/distribution and order supplies.
- Coordinate or assist with asset transfers, Roadrunner pickups, inventory control, offsite agreements, stock common areas, and scheduling courier pickups to and from various MDA Campuses, as needed and requested.
- Assist with Human Resources-related activities to include new employee set-ups, scheduling interviews, orientation preparations, scheduling exit meetings, and assisting with reappointments of trainees.
- Assist with purchase order processing by research and resolution of RNI/IRN reporting.
- Perform timekeeping duties to include Web Schedule support and Kronos entries.
- Provide support to the Departmental Administrator, Operations Manager, Grants, Buyers and additional financial groups, as needed.
Special Projects
- Special projects should be addressed as assigned and by the prescribed deadline.
- Other duties as assigned.
Education
Required: High school diploma or equivalent.
Preferred: Bachelor’s degree.
Experience
Required: Four years of administrative/secretarial experience. With preferred degree, no experience required.
