
Food For The Poor
Performs duties typically completed by Administrative Assistants, including but not limited to the following: Provides administrative support to ensure efficient operation of the office and carries out administrative duties such as filing, typing, copying, binding, scanning, etc. Supports the managers and teams by performing tasks and fulfilling requests related to the mission of the organization. Maintain and manage accurate data and records for portfolios and digital notebooks using Microsoft Office 365 apps and programs. Accurately organize and manage data while meeting the deadlines assigned. Provide information by answering questions and conducting research as needed. Maintain department and warehouse supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and expediting orders for supplies.
Duties
- Research Gift Detail Report, and call Alliances assigned to the Church Alliances General portfolio to thank them for their gift.
- Monitor donor Daily Transactions and notify the manager when a donor has reached a certain giving level and should be transferred to an active portfolio.
- Generate source codes and donor numbers for churches, school, groups, organizations, etc. using Donor Direct/Studio Enterprise software – as needed.
- Perform specialized mailings and packaging as needed – requires going into the office.
- Perform research, as requested, for coordinators and managers.
- Manage and maintain files, records, and correspondence – both hard and digital copies.
- Pull reports from CAPS, BI, Donor Direct and Quickbase, as requested.
- Update and help maintain the departments’ digital filing system using OneNote.
- Update and help maintain the departments’ intranet team site using SharePoint.
- Mail Dunbar Bags as needed by Clergy Speakers – must go into office for this duty.
- Proofread and correct errors in written documents.
- Offer support and assistance to all managers in Church Alliances.
- Support Clergy Speaker managers in various ways as requested.
- Support Communication manager with writing and proofreading.
- Support Coordinator managers in job-related duties as needed.
- Perform any other job-related duties as assigned by the manager.
Skills
- Thorough working knowledge of Windows and Microsoft Office 365
- Experience and proficiency using Microsoft Excel, Word, PowerPoint, OneNote, Task, SharePoint, Power Automate, Outlook, Teams, as well as Zoom, Studio Enterprise, and Quickbase.
- Outstanding organizational skills with both paper and digital resources.
- Superior communication skills, both written and verbal, as well as excellent reading and comprehension skills.
- Proficient ability to proofread and detect and correct grammatical errors.
- Self-starter and ability to manage and consistently log the daily workload.
- Should embrace the mission of Food For The Poor and its Guiding Principles.
Education and Experience: Associates or higher degree preferred; High school diploma required.
Previous Experience As An Administrative Assistant Preferred.
Salary Range: $: $35,874 – $53,810
