JOB SUMMARY

The Human Resources Assistant performs a variety of administrative tasks and support functions to the Chief Human Resources Officer and other departments as assigned. The HR Assistant also serves as back up to the office receptionist, greeting both internal and external customers via phone or in person with superb customer service skills.

ESSENTIAL FUNCTIONS

Customer Service

Answers phones and directs calls appropriately.

Serves as initial contact and resource for basic employee inquiries regarding benefits, escalates questions as needed to CHRO.

Responds to emails, phone calls and other inquiries efficiently and communicates effectively others.

Provides basic support to employees related to usage of timecard software and benefits enrollment portal.

Works collaboratively with the Office Administrator to ensure front desk and inbound call coverage.

Data Entry & Record Keeping

Uses HRIS system, Paylocity, effectively and efficiently.

  • Initiates online onboarding for new hires in the HRIS system
  • Creates job postings in HRIS system, for posting approval and posts recruitment advertising as directed.
  • Scans and files into employee HRIS records
  • Produces reports from HRIS system

Responsible for the maintenance of personnel records.

Assists in the sorting and distribution of inbound mail daily.

Receives, prepares and organizes FMLA requests for review and approval.

Completes, submits and files employment verifications.

Responsible for the receipt, status tracking, and completion of a variety of benefit enrollment forms (wellness, tuition, incentives) which includes accurate recordkeeping, follow-up with employees and production of enrollment and status reports.

Prepares minutes for assigned meetings.

Provides data entry support to the accounting/payroll department, as assigned.

Projects

Works collaboratively with the CHRO and other members of the leadership team to provide administrative support or research, events or special projects as assigned.

Event Coordination

Provides support to Central Office in the coordination of meetings and special events, including monthly Board meetings.

Assists in the preparation for Board meetings, including printing, copying and mailing board packets, reviewing or preparing presentations, set up of meeting room and refreshments. Responsible for board meeting minutes and board record keeping.

Make travel arrangements as assigned.

Other duties as assigned

SCHEDULE

This position is a full time, non-exempt position based on a 40-hour work week scheduled between the hours of 7:30 a.m. – 4:30 p.m. Monday – Friday. KNOWLEDGE, SKILLS AND ABILITIES

  • Proficient in use of standard office practices, professional business correspondence, spelling and arithmetic.
  • Ability to use HRIS software efficiently and effectively.
  • Considerable skill in operating personal computers. Must be proficient in Microsoft Office software products including Word, Excel and Outlook.
  • Ability to maintain records, prepare reports and make complex arithmetic computations.
  • Ability to establish and maintain positive, effective working relationships with employees and the general public.
  • Ability to organize efficiently and care for details in an orderly fashion.
  • Ability to understand and carry out oral and written instructions.
