Position Summary:

SIR has recently launched VIRTEX, a national data registry. We have created a new role; Manager, Registry Operations and the primary responsibility is managing the daily operations of the registry and serving as a key member of the society’s registry team. In this exciting new role, you will be collaborating regularly with staff, physician volunteers and members, and registry sites. The ideal candidate for this role possesses strong project management skills that include attention to detail, ability to adapt VIRTEX to accommodate participants’ systems, communication, documentation, outreach, engagement, and follow-through. A successful candidate will play a key role in making VIRTEX the gold standard for clinical interventional radiology data to drive quality patient care and effectiveness!

Essential Functions and Responsibilities

  • Manage the daily registry operations, including site recruitment, enrollment, implementation, support, and customer service
  • Serve as a reliable and informative resource regarding the registry
  • Managing and coordinating the recruitment, enrollment, and implementation process for participants including- scheduling and managing meetings, providing timely communications; distributing, collecting, and organizing various documents, agreements, forms, and managing timelines; tracking progress utilizing electronic software, keeping updated and accurate; conduct assessments of workflow, processes, and objectives.
  • Provide solutions for improving functionality, development, and operational simplicity; collaborate and coordinate with registry vendor throughout the process; providing tools and first-line support for training, customer service, and issue triage; identify and work to remove barriers to participation for all categories of current and potential participants
  • Schedule and coordinate meetings, webinars, conference calls, draft agendas, lead calls, take minutes, and assist with meeting logistics as needed
  • Work with the Senior Manager, Registry Operations, to plan and prepare reports, documents, slides, presentations, and other supporting information regarding registry metrics, achievements, status, and new initiatives for various internal and external stakeholders including committees, leadership, volunteers, external sources, SIR staff, and meetings

Secondary Functions and Responsibilities

  • Establish and maintain internal and external relationships to promote and grow the SIR data registry
  • Attend and participate in SIR leadership, internal, and external calls and meetings as necessary
  • Some travel (approximately 5-15%) is required, one-week travel will be required to attend the annual meeting

Requirements:

Knowledge, Skills, and Abilities:

  • Familiarity with medical terminology
  • Excellent written and oral communication skills
  • Proficiency with MS Office (Word, Excel, Access, and PowerPoint) required. Familiarity with Smartsheet and other project management software preferred
  • General knowledge of registries and database structures preferred· Exemplary project management skills (ability to prioritize, multi-task, be attentive to deadlines and budgets, work in a fast-paced environment, and successfully manage several objectives simultaneously)
  • Strong interpersonal skills and ability to exercise good judgment, tact, and diplomacy
  • Demonstrated ability to work both independently and collaboratively. Should be self-motivated but also an enthusiastic team player
  • Ability to proactively identify issues and concerns and propose effective resolutions for them
  • Superior organizational skills, attention to detail, and follow-through· Clinical background or experience preferred

Education:

  • Bachelor’s degree required; advanced degree preferred

Experience:

  • 3-5 years related experience in a medical office, health care, and/or medical association environment
  • 3+ years experience in managing clinical data registries, and/or clinical quality improvement projects in a healthcare environment preferred
  • Project management experience preferred
