SECRETARY ADMINISTRATIVE SUPPORT, FULL TIME

70 Biweekly hours – Days, No Weekend (shifts may be subject to change)

SEIU Clerical Hourly Pay Rate: $26.5152 – $28.1191

The Administrative Secretary supports assigned departmental personnel by performing administrative and secretarial services, including, but not limited to: providing accurate word-processing support by composing and/or editing a variety of documents; providing reception services; developing, organizing and maintaining electronic and paper filing systems that permit easy reference and rapid retrieval of information and records; performing functions that support effective and efficient departmental operations; scheduling meetings and calendars on behalf of assigned departmental personnel.

Responsibilities Include But Are Not Limited To

  • Provides accurate word-processing support by composing and/or editing a variety of documents, including highly sensitive, confidential correspondence, memoranda, contracts, proposals, presentations
  • Answers all incoming inquiries and redirecting as appropriate
  • Coordinates the receiving, analyzing, distribution and responding to electronic and paper communications
  • Tracks purchases and expenses for reconciliation with budget statements, ensures payroll timesheets are completed and submitted
  • Coordinates and provides administrative support such as: scheduling meetings, records meeting minutes, monitoring incoming e-mails
  • Orders and maintains office stationary orders

Qualifications Include But Are Not Limited To

  • Completed Grade 12 education combined with 2 years community college (eg. Centennial College – Office Administration – General) secretarial and or equivalent/relevant work related experience required
  • Knowledge of Freedoms of Information and Protection of Privacy Act 1990 (‘FIPPPA’)
  • Previous healthcare experience and training and work knowledge of medical terminology
  • Superior interpersonal and communication skills both oral and written
