Origina is seeking an Executive Assistant primarily responsible to perform a variety of support functions including administrative activities for senior executives. This key individual will work collaboratively and demonstrate a high level of professionalism and confidentiality as they effectively interact with senior staff, external constituents, and all levels in the organization. The Executive Assistant will operate with a high degree of autonomy, demonstrating a notable degree of experience, discretion, and technical administrative skills.
Responsibilities
- Provide administrative support to executives as needed while providing general office support with a variety of clerical activities and related tasks.
- Manage a sometimes-complex executive calendar utilizing Outlook
- Coordinate various business meetings, appointments, and conference calls
- Assist with organizing domestic and international travel
- Prepare and transmit correspondence, presentations, charts, tables, and other memoranda using MS Word, Excel, PowerPoint, and Outlook, often under tight deadlines, ensuring documents produced are error free and grammatically correct
- Exercise independent judgment and discretion on sensitive and confidential projects and assignment
- Liaison with key executives
- Demonstrate leadership competencies
- Consistently achieve results in an organized, timely and professional manner.
- Make sense of complex, high quantity and sometimes contradictory information to effectively solve problems
- Relate openly and comfortably with diverse groups of people
- Gain the confidence and trust of others through honesty, integrity, and authenticity
- Supervise, approve, and coordinate and order office and kitchen supplies and services
- Oversee building maintenance services
- Coordinate scheduling of the meeting spaces for various business meetings
- Order supplies and food for executive and office meetings, as well as training events.
- Oversee needed shredding and copy machine(s) supplies
Required Skills and Experience:
- 5 years of progressively responsible and successful Executive Assistant experience in dynamic, high growth environments
- Excellent oral and written English communication skills
- Experience managing executive schedules and meetings
- Advanced proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint)
- Bias for action and high sense of urgency
- Ability to manage multiple, rapidly evolving priorities in a dynamic, high-growth operation with professionalism and confidentiality
- Ability to interface with customers and executives with high degree of confidentiality and professionalism
- Finance and HR support experience a plus
- Detail oriented and highly organized
- Highly dependable
- Demonstrated success in the key accountabilities
- Bachelor of Arts or Science in Business Administration strongly preferred
- Current US Driver License (US Passport a plus)
