Job Description

The Executive Assistant will support both the Head of Operations & Technology as well as the Head of Investment Risk, both members of the MT of the Investment Office.

  • Plan, prepare and coordinate (virtual/hybrid/f2f) (investment related) meetings/committees; draft agenda, collect/distribute papers, attend if required and record minutes/actions, ensure appropriate follow up
  • Assisting with the preparation of presentations and reports
  • Monitor and support key processes and smaller projects within Operations and Risk teams and provide input and status overview where appropriate
  • Calendar management; efficiently optimize managers time based on priorities. Manage, prioritize and coordinate calendars, set up meetings with internal and external and third parties, monitor compliance to planning and deadlines
  • Escalate issues to IO Leadership in Amsterdam and complete key documentation
  • Manage inbox; effectively reviewing and prioritising incoming communication (correspondence, emails and calls) and follow up as required, maintaining an excellent standard of communication. Act as gatekeeper, proactively monitoring deadlines
  • Manage occasional travel arrangements
  • Process expenses of both MT members on a timely basis.

  • Strong interpersonal skills and organizational sensitivity
  • Stress resilient and ability to multi-task in a demanding environment
  • Extremely structured, organized and flexible
  • Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes
  • Ability to deal with information of a confidential nature
  • Excellent understanding of Office 365 and applications to enable remote working

Experience and skills

  • Master’s degree or equivalent experience in a similar role working with Senior Executives
  • At least 5 years’ of work experience in a complex international environment
  • Experience in an asset management or financial services environment is considered as a plus
  • Experienced in organizational development and team effectiveness enhancement is a plus
  • Outstanding organizational sensitivity, and management and prioritization skills with a strategic and challenging mindset
  • Very hands-on mindset as well as strategic thinking capacity
  • Fluency in English; strong verbal and written communication skills. Fluency in Dutch both verbal and written is a plus
  • A strong and stable personality with style flexibility, able to choose direction, keep track, and engage others
  • Customer service focus and drive
