The difference you will make as a Corporate Compliance & Assurance System Manager

The Corporate Compliance and Assurance Team has been created to provide the foundations for a sustainable and modern business; promoting regulatory and legal compliance and best practice through high quality, efficient, professional service, advice and support.

Its vision is to deliver a step-change in performance in its areas of responsibility with the objective of supporting delivery of the corporate plan and protecting the Group’s reputation.

The purpose of this role is to act as a centre-point for information management, engagement and analysis across the Corporate Compliance and Assurance Service. The role will report directly to the Group Head of Compliance and Assurance and support working cross-organisationally to initiate, develop, drive, monitor and assist streamlined reporting. The role will lead on the operationalisation of OneTrust, the integrated, compliance, risk, assurance and data protection software system, for the Group as well as work with external stakeholders and staff from all the Group’s departments including senior managers and directors; offering advice where necessary and assisting understanding. The role will assist with the preparation of reports for Executive Directors and Group Audit Committee.

Job profile

Corporate Compliance and Assurance:

  • Oversee the timely submission of statutory returns by managing and maintaining the Statutory Returns Register on OneTrust, with clear actions, deadlines and reminders for contributors; ensuring returns are submitted and receipted for by relevant staff, that suitable evidence of submission is provided and that concerns with meeting a return deadline are escalated promptly.
  • Play a lead role in developing and maintaining the Law and Legislation Register in OneTrust and facilitating a regular process whereby business leads provide assurance of compliance.
  • Assist with maintaining the Asset and Liability Register in OneTrust.
  • Assist with engaging business teams to identify and catalogue key controls and where relevant with relating them in OneTrust to corporate compliance responsibilities; tracking where any gaps are identified.
  • Assist the Compliance and Assurance Manager with seeking evidence from the business with respect to any aspect of corporate compliance including assisting with spot checks where necessary and formulating findings into clear, detailed and accurate reports.

Governance, Risk & Compliance Software (currently OneTrust)

  • To project manage the configuration, operation and monitoring of OneTrust including: the maintenance of a project plan, decisions and changes log, risk and issues log as well as escalating to the Group Head of Corporate Compliance and Assurance concerns which might negatively impact on delivery.
  • To ensure all uses for the OneTrust system are thoroughly tested and piloted with relevant stakeholders before implementation and that sufficient training and support is made available to ensure smooth and effective roll outs.
  • To drive, monitor and implement improvements to the OneTrust software by submitting requests for improvements, engaging OneTrust product managers, monitoring new releases and ensuring new relevant functionality is implemented and utilized.
  • To ensure workflows, permission settings, roles, assessments, rules and guidance for OneTrust are documented and kept in a structured fashion to ensure continuity of understanding is maintained within the Group.

Policy – Transitional Period Only:

  • Advise staff on the corporate expectations for effective policy and procedure.
  • Maintain the Group’s corporate library of policies and procedures by keeping an up-to-date register and dashboard of the policies and procedures in place and ensuring policies are published on the intranet.
  • Assist with administrating the integration of One Housing and Riverside policies.
  • Engage with and provide regular reporting to the Senior Leadership Team of where policies are due for review.

Cross Team Working:

  • Advise and assist other business teams who want to adopt elements of OneTrust to help with delivering their own areas of responsibility.
  • On request, support the Data Protection Team with their implementation and management of data protection processes in OneTrust.
  • Collaborate and engage with business architects and change teams in matters relating to OneTrust implementation and maintenance.

Knowledge, Skills and Experience

Essential:

  • Excellent engagement skills with a demonstrable ability to work constructively and collaboratively.
  • Project management skills including being proactive in setting goals, prioritising workload and achieving deadlines.
  • High level of IT skills and literacy, including proficiency in Microsoft Office 365 and SharePoint Applications.
  • Knowledge and experience of working with and configuring workflows in software systems.
  • Strong analytical skills, including ability to prepare, manipulate and review large data sets in Excel.
  • Ability to work autonomously under pressure, managing several workstream and to a high degree of accuracy.
  • Well-developed written communication and report skills with minimal oversight/editing required.
  • Degree level education or equivalent.

Desirable:

  • Knowledge or awareness of regulatory compliance
  • Knowledge or awareness of the social housing sector
  • Knowledge or awareness of corporate insurance
