The Embassy of the Kingdom of the Netherlands is actively recruiting a part time management assistant (any gender) to join our team. This is a fantastic opportunity for a proactive person to embrace a diverse and challenging role.

As management assistant (28 hours, exact working hours TBC) you will be part of the management support office together with your colleague. Together you are the right hand of the ambassador, the rest of the embassy’s management and the beating heart of the day-to-day operations of the embassy. You help organise the work of the management team (the ambassador, deputy head of mission and operational manager) and are responsible for various operational and substantive tasks, which you carry out independently. You provide support to activities and events in the focus areas of diplomatic, economic and public diplomacy.

YOUR ROLE

  • You manage the e-mail boxes and monitor deadlines for correct and fast processing
  • You ensure official diplomatic correspondence
  • You coordinate the response to questions, requests and calls that are wide-ranging but standard
  • You manage the calendar of the ambassador and set up meetings for the embassy’s management team
  • You provide general support for incoming and outgoing official visits and missions;
  • You take minutes during meetings
  • You are the first point of contact and provide information to colleagues and clients.

  • You are a professional, you have good social skills and are able to adapt optimally to changing circumstances
  • You have excellent written and verbal communication skills
  • You are proactive, think ahead and anticipate questions from the team you support
  • You know how to prioritise, but also consult with the management on priorities and monitoring limited time and resources
  • You can play a central and connecting role within the embassy team; you work well both independently and as part of a team
  • You pay attention to detail and monitor progress independently
  • You continuously learn and develop yourself
  • You are responsible for the organisation of your own work in a transparent way and you indicate what is needed to perform the job well; you can remain calm in pressing circumstances and you know your own limits
  • You are proficient with standard office applications, in particular MS Office, and are not afraid to learn new systems or programmes
  • You have completed secondary vocational education at least and have several years of relevant professional experience
  • You’re proficient in German and English; knowledge of Dutch is a clear advantage;
  • You are familiar with applications for social media, digital automation systems and devices such as tablets, iPhones, etc.
  • You have the role of hostess or host for external visitors. Your attitude is correct, proactive and customer-oriented.

YOUR WORK ENVIRONMENT

The embassy is responsible for the promotion of the values and interests of the Kingdom of the Netherlands and its citizens in all its aspects in both Switzerland and Liechtenstein. It has a relatively small team consisting of the ambassador, the deputy head of mission and eleven locally employed staff members. Together the team is responsible for political, economic and consular services and activities. The policy focus is on maintaining and promoting the relations of the Netherlands with Switzerland, as well as on the promotion of Dutch-Swiss collaboration on innovation, trade and investment, and sustainability.

Within the team, cooperation is important and colleagues are flexible when it comes to the changing division of tasks and helping each other. The embassy team has a ‘can do’ mentality, and there is an excellent and informal team spirit focused around the principle of ‘one team’.
