The consultant will develop the technical specifications in preparation for a Request for Proposal (RFP), to review its CRM (Customer Relationship Management) processes and identify changes to the CRM platform based on Microsoft Dynamics.

The preparation of the RFP including the gathering of requirements is just one of the deliverables. The consultant should take over the maintenance of the platform and bring minor improvements where needed. We expect the consultant to manage the existing platform on a day-to-day basis and to collect requirements to input into the RFP document. Background

• The consultant will be responsible for assessing the current CRM processes and the Microsoft Dynamics CRM platform used by our UN-agency-client.
• This assessment will serve as the basis for drafting a Request For Proposals (RFP) aimed at selecting a vendor to provide enhancements and improvements to the CRM system and to maintain the platform.
• The current hosting and management contract is ending by the end of December 2024 and needs to be replaced. Our UN-agency-client is looking for a CRM consultant to collect requirements, identify gaps within existing processes, review the current state of the existing CRM platform, build a case towards implementing changes to the existing processes and platform and draft the Terms of Reference as well as all relevant RFP technical document.

The Primaryobjectivesof This Consultancy Are As Follows

• Evaluate the effectiveness and efficiency of existing CRM processes.
• Review the current state of the CRM platform based on Microsoft Dynamics.
• Identify areas for improvement and optimization within the CRM system.
• Draft a comprehensive Terms of Reference that outline the requirements for CRM platform maintenance and enhancement.

The consultant will be working closely with the existing team managing the current platform and will be asked to take responsibility in collecting information related to the current platform from the various stakeholders including the current supplier. The consultant will also be asked additional related activities as needed.

Tasks

• Conduct a detailed analysis of current CRM processes.
• Assess the functionality, data integrity, and usability of the CRM platform.
• Identify any gaps or deficiencies in the current CRM system.
• Collaborate with key stakeholders to understand their requirements and expectations.
• Research best practices and industry standards for CRM system maintenance.
• Draft a clear and comprehensive Terms of Reference document that includes functional and technical specifications, evaluation criteria, and timelines.
• Provide recommendations for potential vendors or service providers.
• Assist in the evaluation and selection of the vendor based on responses to the RFP, if requested.

Deliverables

• A detailed assessment report of current CRM processes.
• An evaluation report on the state of the CRM platform.
• A comprehensive RFP document for CRM platform maintenance and enhancement.

Qualifications And Experience

• Proven expertise in CRM systems both from a functional and technical perspective, particularly Microsoft Dynamics.
• Experience in drafting RFP documents.
• Strong analytical and communication skills.
• Fluency in the English language is required.
• Familiarity with industry best practices in CRM.

Schedule

• Latest Deadline for the submission of proposal October 31, 2023, 3PM (Geneva time).
• Expected date for contract award. 15 November 2023
• Duration: end of November 2023 until end of October 2024 (will be contracted in 3-6 month periods)
