About the job
We are looking for a diligent Office Manager to manage the day-to-day running of our Berlin office and support the local and international GRIPS team members. We are looking for someone that is self-reliant, motivated and has an entrepreneurial approach by thinking beyond their immediate area of responsibility.
Your mission
- Be the first point of contact for visitors and team members alike
- Manage service providers and suppliers –from refreshments to tech equipment
- Maintain tidy office environment and make improvements where necessary
- Organisational support for operative positions
- IT support, manage our tools and licenses
- Track inventory and team travel for insurance purposes
- Oversee health and safety topics
- Support recruitment
- Coordinate and support payroll, absences
- Manage onboarding and offboarding processes
- Organise team events
- 1st level and preparatory accounting
- Contact with accountants, tax advisors and banks
- General administrative tasks (company documentation, incoming mail, filing)
Your profile
- Successfully completed professional training (Lehre) or University degree
- At least 2 years related work experience
- Excellent time management, organisation, and prioritisation skills
- High degree of self-reliability and personal responsibility
- An open-minded perspective and sense of cultural awareness
- Very good knowledge of English and German
- French knowledge is a plus
- Very good knowledge of MS Office
- Experience with DATEV a plus
- Experience with an ATS/ HR tool a plus
- Experience in a start-up environment is an advantage

- Candidate is required to have the legal right to work in Germany
- Employment type: Temporary –parental leave cover, 16 months
- Part time (20-30 hours per week)
